Position Summary:

We are seeking a dynamic and versatile individual to join our team in the role of Accounting and Administrative Specialist. The ideal candidate will be a meticulous and organized professional with a strong background in accounting, bookkeeping, and administrative tasks. We are looking for someone who is capable of learning quickly and someone who is versatile, flexible, and capable of wearing multiple hats in a dynamic start up environment. This position requires a multitasker who can efficiently handle diverse responsibilities, including invoicing, payment processing, inventory tracking, and administrative support to the executive team.

Job Details

  • Work from Home
  • Monday to Friday | 11 PM to 8AM Manila time
  • *Following US Holidays

Responsibilities:

1. Accounting and Bookkeeping:

  • Efficient use of QuickBooks for reconciliation, journal entries, invoicing, PO submission, and payment processing.
  • Management of invoicing for major partners such as Walmart, CVS, and cobranding collaborations.
  • Coordination of payments to external contractors using platforms like PayPal.
  • Rigorous inventory tracking to ensure accurate financial records.

2. Reporting:

  • Compile and analyze sales data to generate regular reports for cobranding partners.
  • Pull sales and shipping cost data to provide insights for strategic decision-making.
  • Track and report amounts owed to cobranders, ensuring timely payments.

3. Product Database Management:

  • Conduct brand investigations and research as needed.
  • Maintain an organized and up-to-date product database.
  • Conduct regular research to update product information and ensure accuracy.

4. Administrative Support:

  • Provide executive secretarial support to the CEO.
  • Manage CEO’s email, ensuring timely responses and prioritizing critical communications.
  • Efficiently manage calendars and coordinate meetings.

Qualifications:

  • Proven experience in accounting and bookkeeping, with proficiency in QuickBooks.
  • Experience working with US companies.
  • Knowledge of GAAP accounting principles is a plus.
  • Strong organizational and multitasking skills.
  • Excellent data management and analytical abilities.
  • Effective English communication skills, both written and verbal.
  • Proficient in Microsoft Office suite.
  • Ability to work independently and collaboratively in a fast-paced environment.
