About the Role:

Role: Executive Assistant/Ops Associate

Work Schedule: Full Time | 40 hours per week | Monday to Friday | 9:00 AM - 5:00 PM EST

Salary Range: $1,000 - $2,000 per month

Holiday Adherence: US Holidays

Our client is a leading B2B SaaS provider, specializing in delivering innovative and cutting-edge solutions for businesses in the digital technology industry. They are experiencing rapid growth and are looking for an Executive Assistant / Operations Associate.

As Executive Assistant/Ops Associate, you will report directly to the CEO and CoS. You will use your skills in administrative excellence and operational acumen to enable smooth functioning of both executives on a regular basis.

Core Functions:

Tier 1:

  • General Admin Support for CEO and COS: Providing efficient, proactive, and organized assistance in email, schedule, travel and task management to ensure smooth operations at the executive level.

Tier 2:

  • Ops Support: Offering resourceful, adaptable, and collaborative assistance in maintaining data, processes, and systems, while also providing cross-functional support for various operational tasks such as invoicing and onboarding, among others.

Tier 3:

  • Process Improvement: Spearheading innovative and strategic initiatives to enhance operational efficiency and effectiveness.
  • Pattern Recognition in Ops Data: Analyzing data with keen attention to detail to identify patterns and trends crucial for operational decision-making.
  • Research: Conducting thorough and resourceful investigations to support operational initiatives and decision-making processes.
  • A/B Testing: Implementing and analyzing experiments to optimize operational processes and strategies.
  • Reporting: Communicating insights effectively through clear data visualization and analysis to drive informed decision-making and strategy development.

Responsibilities:
  • Manage email inboxes, calendars, and scheduling with efficiency and foresight.
  • Conduct comprehensive research projects, contributing valuable insights for business growth.
  • Arrange travel, reservations, and logistical support with precision.
  • Handle data entry and invoice payments with accuracy.
  • Draft, edit, and proofread various documents, ensuring high standards of professionalism.
  • Coordinate and execute events and special projects, demonstrating exceptional organizational skills.
  • Tackle diverse challenges, including HR, operations, finance, and sales-related projects.
  • Perform manual tasks such as material duplication and detailed sales list research.
  • Comfortably handle spreadsheets, Excel, and data analysis tasks, demonstrating proficiency in numbers and data interpretation.
  • Proactively identify opportunities to streamline processes and reduce workload for the CEO and Chief of Staff.
  • Maintain discretion and confidentiality across all business matters.

Requirements

  • A minimum of 3 years of experience as an Executive Assistant, ideally in a high-growth SaaS environment and with U.S.-based CEOs.
  • Proficiency in Google Suite, MS Office (especially Excel), and familiarity with modern tech stacks such as HubSpot, Heap, Stripe, and Rippling.
  • Strong capabilities in managing and analyzing data using spreadsheets and various analytical tools.
  • Excellent communication skills, both in writing and verbally, with a meticulous eye for detail.
  • Demonstrated ability in multitasking, time management, and organizational excellence.
  • Positive, adaptable, and proactive mindset, thriving in a fast-paced and evolving environment.
  • A unique blend of administrative and operational skills, akin to an operations associate/analyst.
