THE OPPORTUNITY

The Lead Executive Assistant (Lead EA) to the President/CEO supports and reports directly to the President and CEO of the organization, providing primary executive support in a one-on-one working relationship.  Secondary executive support is provided to the Executive Leadership Team and the Board of Directors.  The Lead EA serves as the primary point of contact for internal and external constituencies on all matters pertaining to the executive offices.  The Lead EA also serves as a liaison to the Board of Directors and Leadership Team, organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

 

WHAT YOU’LL DO:

  • Provides high-level executive support to the President/CEO and Executive Leadership Team (ELT), by completing a broad variety of administrative tasks including managing extremely active calendars of appointments, completing expense reports, composing, and preparing correspondence that is often confidential, and compiling documents for internal and external meetings.
  • Provides high-level executive support to the Board of Directors by drafting meeting agendas and preparing for meetings in conjunction with the Board Chair, Committee Chairs, President/CEO, Corporate Secretary, and CFO; assists in preparing meeting presentations and meeting minutes; schedules, coordinates, and executes all Board and Committee meetings, events, and retreats; coordinates travel arrangements for Directors, approves and processes Directors’ expense reimbursements; and coordinates with the Finance Department to process all quarterly payments and changes as necessary.
  • Plans, coordinates, and ensures schedules are followed and respected.  Provides “gatekeeper” and “gateway” role, creating complimentary situations for direct access to the President/CEO’s time and office.
  • Maintains a “gate-keeper” relationship with internal and external partners to assist the ELT in completing their daily tasks and responsibilities.   
  • Provides coordination, orchestration, oversight, and guidance for projects and commitments critical to the organization and acts as the liaison between the President/CEO, ELT, Employees, and other stakeholders.
  • Communicates directly, and on behalf of the President/CEO and the ELT, with partners, customers, members of the Board of Directors, and others on matters related to the business and strategic plans and initiatives.
  • Manages the planning, coordination, and execution of the President/CEO and ELT’s travel, including trip logistics and itineraries.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President/CEO and ELT, including those of a sensitive or confidential nature.  Determines and/or proposes appropriate course(s) of action or response.
  • Creates agendas for key company meetings.
  • Serves as the primary point of contact for all high-level and confidential administrative actions.
  • Provides primary oversight of the Corporate Executive Services unit.
  • Travels and attends offsite meetings as needed.
  • Performs other duties or special projects as required or as assigned.

 

WHAT YOU’LL BRING:

  • Associate degree or equivalent work experience required.
  • Ten plus years of experience supporting C-Level Executives, with President/CEO and Board experience highly desirable.

 

WHO YOU ARE:

  • Strong knowledge of software systems such as general office applications, with superior skills required in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat.
  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, able to pivot to changes with detail to execution of those changes, and demonstrate the highest level of customer/client service and response, acting with a sense of urgency, when needed.
  • Strong collaborating skills, and an ability to work effectively both independently and as part of a team
  • Comfortable in a fast-paced environment with frequent deadlines; high energy, self-motivated, independent thinker, and proactive.
  • Excellent communication and interpersonal skills
  • Ability to multitask, and be flexible with regard to workload and assignments.
  • Ability to exercise judgment.
