Position : Executive  Assistant

Working Hours : M-F, 9am-6pm (with 1 hour break), PST timezone

Salary Range : 1100-1200 USD/month

Holiday : TBD

About the job:

We are looking for EA and other more general support. (scheduling, purchasing, receipt collection, compliance coordination, light event planning.

Duties and Responsibilities:

Scheduling: 

  • CEO meeting Scheduling
  • Hiring Coordination
  • Scheduling interviews
  • Maintaining candidate tracking
  • Maintaining accounts payable email account
  • Ensuring receipts are uploaded to Ramp
  • Prepping bills for payment in Ramp
  • Processing reimbursements
  • Review all expenses on Fridays, ensuring everyone is in compliance

Software Administration:

  • Add and remove team members from different software
  • Maintain tracking for who has been onboarded to what
  • Edit permissions as needed
  • Overall Management of Employee Requests:
  • Create a system for collecting all employee requests in one location.
  • Take care of requests or route the request to the correct person/decision maker.
  • Develop and Maintain SOP’s
  • Draft any missing SOP’s for company-wide and ops processes
  • Maintain SOP’s for accuracy

Cross Train on Customer Support:

  • Address support tickets by email in Hubspot
  • Menu Uploading
  • Event Migrations
  • Other Misc items and projects
  • Handle misc spending: employee gifts, referral gift cards, office supplies
  • Keep our Mineral Handbook up to date
  • Trip and offsite planning support

Requirements

Qualifications:

  • Minimum of 4-7 proven years of experience as a Virtual Assistant
  • Good to excellent command of English language is a must
  • Tools: Google Workspace and Notion (mandatory), Quickbooks Online (big plus), Excel (proficient), Spreadsheets (proficient), Hubspot (big plus), Ramp (big plus), Vimcal (big plus), and Slack
  • Ramp (Accounts Payable) and Rippling (HR Tool) would be a plus
  • Tech Savvy, can navigate software and learn quickly 
  • Extremely Organized, Systematic, detail oriented, and punctual
  • Can work under minimal supervision
  • Has customer support experience
